The business question · Tool rationalization

“Are we paying for tools that do the same job?”

The concept

One tool per job

Overlapping tools are retired so every job has one owner and one place to look.

How it works
One register lists every tool and its job; overlaps are retired, and nothing is removed while something still depends on it.
Why it matters
Licence spend and the number of places things can break both fall, without breaking anything that still matters.
The result
Every tool has a job, duplicates are gone, and the register shows what was retired and why.

The business problem

Overlapping tools cost money and attention.

AI programs collect tools quickly: several dashboards, several task lists, several ways to send an alert. Each one costs money and attention. The platform had grown overlapping consoles, several task lists, separate morning reports and more than one alert source.

Why this concept

Application rationalization: one register, one tool per job, and a keep-guard before anything is retired

It is the same discipline as SAP application rationalization: fewer, better tools, retired safely.

Also considered

  • Keep everything in case it is needed
  • Delete whatever looks old

What we put in place

  • Built one register of every app and service, including the retired ones and what replaced them.
  • Replaced overlapping consoles with one command centre in Teams, and several task lists with one Planner board.
  • Merged separate morning reports into one brief, and several alert sources into one incident system.
  • Added a scanner that flags anything new that the register does not know about.

The result

Before

Overlapping tools cost money and attention.

After

Every tool has a job, duplicates are gone, and the register shows what was retired and why.

I bring application rationalization from ERP into AI, where tool sprawl grows fastest.

In your organization

A leaner AI estate with lower licence cost and fewer places for things to break.
